Cisco IP Phone System

 

 

Call Forward – To forward a call hit the CFwdALL button.  Then hit the 4-digit extension (or other phone number) you want to forward your phone to.  Your phone is then forwarded.  To forward to your voicemail, hit the CFwdALL button then the message button (picture of envelope on it).  Your phone is now forwarded to your voicemail.  To unforward your phone, hit the CFwdALL button and your phone will be unforwarded.

 

Call Waiting – When a call comes in on your second line, you will here a beep on your phone and the LCD screen will display who the call is from.  You can choose to pick it up by hitting the Answer button (this will automatically put your first caller on hold) or you can let the call go to your voicemail.  If you pick the call up, you need to hit the Resume button in order to talk to your first caller again.

 

Conference Bridge – If you need to have a conference call with several (up to 10) people, make the arrangements on the phone you want everyone to be conferenced into.  Get a free line, hit the MeetMe button, and then dial 1898 or 1899.  Anyone can call this number from anywhere (outside of district 435-678-1898 or 1899) and be let into your conference call.  Make sure that this is not a confidential conference call because anyone can dial into it.

 

Conference Calls – If you need to conference a call hit the Confrn button.  You will hear a secondary dial tone.  Dial the number of the person you are wanting to conference with.  Once they are on the line hit Confrn again and you have a 3-party conference call.

 

Directory – To get into the directory for the district, hit your Directories button (picture of open book).  Then pick option 4.  Type in the person’s name and their number should show up if they are in the system.  Not everyone is in the system yet.  They are working on getting everyone in.

 

Intercom – Not set up yet.

 

Long-Distance Calls – This has changed from our old phones.  You will dial 9-1- and the phone number including the area code, then you will hear a tone and then put in a 8-digit long distance code (Given by Principle).  Then your call will be put through.

 

Park Calls – To park a call, hit the Park button.  A 3-digit number will appear.  The person the call is for can pick up the call on any phone by hitting the 3-digit number.

 

Speaker Phone – Microphone is located in the lower right hand corner.  Maker sure not to cover the microphone up with papers, etc.  Speaker is located under the handset.

 

Transfer Calls – Hit the Transf button, then dial the 4-digit extension you want the call to go to.  You can wait until the person picks up the phone to speak to them (ask them if they want to take the call - the person waiting to be transferred will not hear what is said), or you can hit the Transf button again to immediately transfer the call.  Remember that the Transf button has to be hit twice (once before the 4-digit extension and once after) to actually transfer a call.  If the person doesn’t want to take the call, hit the EndCall button and then the Resume button

 

User Options – This is another option that is accessed through the internet.  Go to the District web page (www.sanjuan.k12.ut.us) and click on the Cisco IP Phone User Pages link.  Once there you will be asked to login.  Your User ID is your 4-digit phone extension.  The password is sanjuan (for the first time you sign on).  Once you have signed on you need to go in and change your password to something you will remember.  The next thing you should do is subscribe to the My Fast Dials and My Address Book services.  To do this click on the Configure your Cisco IP Phone Services link.  Once there, click on the drop down menu for Available Services and pick the My Fast Dials or My Address Book and then click the continue button.  Leave the Service Name and Outside Access Code alone.  They don’t need to be changed.  Enter your 4-digit extension as the Username.  The UserPIN is 12345.  DON’T change this or you will mess up the system.  Do the same thing for both My Fast Dials or My Address Book.  Once this is done you can now Add/Update your Speed Dials and Configure your Cisco Personal Address Book on the main menu.  Once you have done this on the Internet, it is automatically done on your phone.  NOTE:  There are several things you can do from this web page.  Make yourself familiar with it.  It will help you out in the long run.

 

Voicemail (Telephone) – Follow directions for setup.  Computer will take you through all the steps.  To access voicemail from outside district, you can dial your own number or 435-678-1240.  Once the message comes on hit the pound (#) key.  Follow the directions and you should be let in to your voicemail.

 

Voicemail (Via Internet) – Go to the School District web page (www.sanjuan.k12.ut.us).  To the left there is a directory of things you can go to.  Click on Callware Voice Mail.  A new page will come up.  Enter your 4-digit extension in the Box Number and your password for your voicemail in the Passcode box.  You will be able to do the things on the internet that you normally would do on your phone.  This can only be accessed from a computer hooked up within the district.

 

To transfer a call to a persons voice mailbox follow this procedure.

When you receive a call for a teacher that should go to the teachers voice mail,

press the transfer button.

dial 1240

select option 0

dial the voicebox number followed with * Key

press the transfer button.
